How we collect, use, and protect information — including exactly how we handle email, so our messages never look or feel like spam.

01 Overview

Whirlwind Steels ("Whirlwind Steels," "we," "us," or "our") operates whirlwindsteels.com (the "Site") and provides steel fabrication, custom metalwork, mobile welding, and related services (the "Services"). This Privacy Policy explains what information we collect when you visit the Site, request a quote, or otherwise interact with us, how we use it, and the choices you have — including a detailed anti-spam policy governing every email we send.

By using the Site or submitting information to us, you agree to the practices described in this Policy.

02 Information We Collect

Information you provide directly

  • Contact details — name, email address, phone number, company name, and mailing or job-site address, submitted through our contact form, phone calls, or email.
  • Project information — job descriptions, dimensions, drawings, photos, and timelines you share with us to prepare a quote.
  • Correspondence — records of emails, calls, and messages exchanged with our team.

Information collected automatically

  • Usage data — pages visited, referring URLs, browser type, device type, and approximate location derived from IP address.
  • Email engagement data — whether an email we send was delivered, opened, or clicked, and whether it bounced (see Section 5).

We do not knowingly collect payment card information through this Site; invoicing and payment are handled through separate, secure channels at the time of service.

03 How We Use Information

  • To respond to quote requests and provide the Services you ask for.
  • To send transactional and service-related communications: quotes, invoices, scheduling updates, and job status.
  • To send marketing or newsletter emails, but only if you have separately opted in — see Section 5.
  • To improve the Site, diagnose technical issues, and understand how visitors use it.
  • To comply with legal obligations, enforce our Terms of Service, and protect against fraud or misuse.

We do not sell your personal information, and we do not rent, trade, or share your contact details with third parties for their own marketing purposes.

04 Cookies & Tracking

The Site may use essential cookies required for basic functionality (such as form submission) and, where enabled, analytics cookies to understand aggregate visitor behavior. Analytics data is used only in aggregate and is not used to build individual profiles for advertising. You can disable cookies in your browser settings; doing so may affect some Site functionality but will not prevent you from requesting a quote by phone or email.

05 Email Communications & Anti-Spam Policy

We hold ourselves to strict anti-spam standards that meet or exceed the U.S. CAN-SPAM Act, regardless of which email systems we use to send mail.

5.1 Permission-based sending only

  • We send transactional email (quotes, invoices, scheduling, job updates) only to people who have directly contacted us or requested our Services.
  • We send marketing or newsletter email only to recipients who have affirmatively opted in — for example, by checking a consent box on our contact form. We do not use pre-checked boxes or bundle marketing consent into required fields.
  • We do not purchase, rent, harvest, scrape, or otherwise acquire email addresses from third-party lists, and we do not send to addresses we did not collect directly.
  • We do not send to distribution lists, role addresses, or contacts obtained without direct, verifiable consent.

5.2 Honest, identifiable messages

  • Every marketing email accurately identifies Whirlwind Steels as the sender in the "From" name and address, and uses subject lines that reflect the actual content of the message.
  • Every marketing email includes our valid physical postal address, as required by CAN-SPAM.
  • We do not use false, misleading, or deceptive header information, and we do not obscure or falsify the originating domain.

5.3 Unsubscribe and opt-out

  • Every marketing email includes a clear, working unsubscribe link.
  • Opt-out requests are honored promptly and, in all cases, within the 10-business-day maximum required by CAN-SPAM — in practice, our systems typically process unsubscribes within 24–48 hours.
  • We do not charge a fee, require login, or request personal information beyond an email address to process an opt-out.
  • You may also opt out at any time by emailing unsubscribe@whirlwindsteels.com or replying "STOP" to any marketing message.
  • Opting out of marketing email does not opt you out of transactional messages tied to an active quote or job (e.g., invoices, scheduling confirmations), which are necessary to deliver Services you've requested.

5.4 List hygiene, bounces, and complaints

  • We monitor bounce and complaint rates on every campaign and maintain suppression lists to stop emailing addresses that hard-bounce, mark our mail as spam, or unsubscribe.
  • We keep bounce and complaint rates well below industry acceptable-use thresholds, and we investigate any spike in bounces or complaints before sending further campaigns.
  • We periodically remove stale or unengaged addresses from marketing lists to protect deliverability for all recipients.
  • Records of consent (when and how an address opted in) are retained so we can demonstrate compliance on request.

Report abuse. If you believe you received an unsolicited or misleading email from us, or that your address is being used without consent, contact abuse@whirlwindsteels.com and we will investigate within 2 business days.

06 Third-Party Service Providers

We share limited information with trusted providers who help us operate the Site and deliver the Services, under agreements that restrict their use of your data to the services they provide us:

  • Email delivery providers — used to deliver transactional and, where consented, marketing email. Your email address and message content are processed by these providers solely to transmit mail on our behalf.
  • Hosting and infrastructure providers — used to host the Site and store submitted data securely.
  • Analytics providers (if enabled) — used to understand aggregate Site usage.

We do not permit these providers to use your information for their own marketing purposes, and we require them to maintain reasonable security safeguards.

07 Data Retention

  • Quote requests and project correspondence are retained for as long as needed to complete the job, support warranty claims, and meet tax and accounting obligations, typically up to 7 years.
  • Marketing opt-in and opt-out records are retained indefinitely to demonstrate compliance and prevent re-subscription of opted-out addresses.
  • You may request earlier deletion of your information as described in Section 8, subject to legal recordkeeping requirements.

08 Your Rights & Choices

  • Access and correction — request a copy of the information we hold about you, or ask us to correct it.
  • Deletion — request deletion of your information, subject to our legal and accounting retention obligations.
  • Opt-out — unsubscribe from marketing email at any time as described in Section 5.3.
  • Complaints — if you believe we have mishandled your information, contact us first at the address in Section 12; you may also have the right to lodge a complaint with your local data protection authority.

09 Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encrypted transmission for form submissions and access controls on stored data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

10 Children's Privacy

The Site and Services are directed at businesses and adult consumers. We do not knowingly collect information from anyone under 18. If we learn we have collected information from a minor, we will delete it.

11 Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page. Continued use of the Site after changes take effect constitutes acceptance of the revised Policy.
